Other entrepreneurs, like Kevin Kruse, fall more into the calendar camp. So, who\u2019s right and who\u2019s wrong?<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The pros and cons of to-do lists.<\/strong><\/h2>\n\n\n\n<p>\u201cI have always lived my life by making lists,\u201d&nbsp;<a href=\"https:\/\/www.virgin.com\/richard-branson\/how-i-get-things-done\" rel=\"noreferrer noopener\" target=\"_blank\">writes<\/a>&nbsp;Richard Branson. \u201cThese vary from lists of people to call, lists of ideas, lists of companies to set up, lists of people who can make things happen. I also have lists of topics to blog about, lists of tweets to send, and lists of upcoming plans. Each day I work through these lists. By ticking off each task, my ideas take shape and plans move forward.\u201d<\/p>\n\n\n\n<p>To-do lists can also help your brain:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><a href=\"http:\/\/journals.sagepub.com\/doi\/abs\/10.1177\/0956797614524581\" rel=\"noreferrer noopener\" target=\"_blank\">Studies<\/a>&nbsp;show that students who write notes in class can help distill the information they hear and remember it better.<\/li><li>To-do lists&nbsp;<a href=\"http:\/\/psycnet.apa.org\/record\/1999-05760-004\" rel=\"noreferrer noopener\" target=\"_blank\">breakdown abstract goals into concrete actions<\/a>.<\/li><li>To-do lists create order in your life since you can take larger projects and break them into doable chunks.<\/li><li>Helps you prioritize what needs to get done.<\/li><li>Makes you accountable for your actions.<\/li><li>Allows you to see which tasks can be delegated or outsourced.<\/li><li><a href=\"https:\/\/www.theguardian.com\/lifeandstyle\/2017\/may\/10\/the-psychology-of-the-to-do-list-why-your-brain-loves-ordered-tasks\" rel=\"noreferrer noopener\" target=\"_blank\">Relieves stress<\/a>&nbsp;since you can see that you\u2019re moving forward.<\/li><li>Crossing off things on your lists feels so good that you\u2019ll be intrinsically motivated to cross off more items.<\/li><\/ul>\n\n\n\n<p>At the same time, some believe that to do lists don\u2019t work because:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>They don\u2019t know how to prioritize items on their list.<\/li><li>Lengthy lists can be overwhelming.<\/li><li>Sometimes you feel you\u2019re adding more to your lists then subtracting.<\/li><li>It\u2019s easy to confuse personal and professional tasks.<\/li><\/ul>\n\n\n\n<p>If you believe that to-do lists will work for you, here\u2019s when you should put tasks on your to dos:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>You don\u2019t have an exact date.\u00a0<\/strong>Not all items have an arbitrary deadline. As such, you should place this on your list instead of\u00a0<a rel=\"noreferrer noopener\" href=\"https:\/\/www.calendar.com\/blog\/clearing-the-clutter\/\" target=\"_blank\">cluttering your calendar<\/a>.<\/li><li><strong>Micro\u00a0activities.\u00a0<\/strong>Don&#8217;t clog your calendar\u00a0with tasks that will only take you a couple of minutes to complete. Reserve your calendar for tasks that take 15-minutes or more.<\/li><li><strong>Group you to-do list by project or category<\/strong>. There are times when our brains have to dump items into a list, such as when brainstorming content ideas for your blog.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The pros and cons of calendars<\/strong><\/h2>\n\n\n\n<p>After interviewing more than 200 billionaires, Olympians, straight-A students and entrepreneurs, Kevin Kruse has come to the conclusion that successful individuals don\u2019t use to do lists.&nbsp;Here\u2019s what Kruse had to say in&nbsp;<em>Forbes:<\/em><\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><p><em>First, a to do list doesn\u2019t account for time. When we have a long list of tasks, we tend to tackle those that can be completed quickly in a few minutes, leaving the longer items left undone. Research from the company iDoneThis indicates that 41 percent of all to do list items are never completed!<\/em><\/p><p><em>Second, a to do list doesn\u2019t distinguish between urgent and important. Once again, our impulse is to fight the urgent and ignore the important. (Are you overdue for your next colonoscopy or mammogram?)<\/em><\/p><p><em>Third, to do lists contribute to stress. In what\u2019s known in psychology as the Zeigarnik effect, unfinished tasks contribute to intrusive, uncontrolled thoughts. It\u2019s no wonder we feel so overwhelmed in the day, but fight insomnia at night.<\/em><\/p><\/blockquote>\n\n\n\n<p>Daniel Markovitz also believes that to do-lists don\u2019t work. As he explained in the&nbsp;<a href=\"https:\/\/hbr.org\/2012\/01\/to-do-lists-dont-work\" rel=\"noreferrer noopener\" target=\"_blank\">Harvard Business Review<\/a>, to do lists are \u201csetting you up for failure and frustration\u201d because:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>The paradox of choice.<\/strong>&nbsp;To do lists give us too many options, which can paralyze us.&nbsp;<a href=\"https:\/\/www.calendar.com\/\" rel=\"noreferrer noopener\" target=\"_blank\">Calendars<\/a>, on the other hand, force us to limit our choices which means we can make faster decisions.<\/li><li><strong>Heterogeneous complexity.<\/strong>&nbsp;When you have a list that contains both shorter and longer tasks, you\u2019ll inevitably chose the shorter tasks.<\/li><li><strong>Heterogeneous priority.<\/strong>&nbsp;\u201cWhen your list comprises items of varying priorities, you tend to take care of the \u2018A\u2019 priorities and let the \u2018C\u2019 priorities lie fallow\u2026until it becomes an \u2018A\u2019 priority itself,\u201d explains Markovitz.<\/li><li><strong>Lack of context.<\/strong>&nbsp;\u201cTo do lists don\u2019t provide sufficient context for the tasks to help you determine what you should work on.\u201d<\/li><li><strong>Lack of commitment devices.<\/strong>&nbsp;Finally, because they lack \u201ccommitment devices, to do lists don\u2019t prevent you from selecting the most pleasant tasks over the most important and urgent tasks.<\/li><\/ul>\n\n\n\n<p>Because of these reasons, Markovitz suggests that you &#8220;live&#8221; in your calendar. \u201cThat means taking your tasks off the to do list, estimating how much time each of them will consume, and transferring them to your calendar.\u201d<\/p>\n\n\n\n<p>As Kayla Sloan wrote in a&nbsp;<a href=\"https:\/\/www.calendar.com\/blog\/advantages-online-calendar\/\" rel=\"noreferrer noopener\" target=\"_blank\">previous Calendar post<\/a>, online calendars come with advantages like:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Being able to access your calendar on multiple devices.<\/li><li>Schedule meetings and appointments.<\/li><li>Set reminders for appointments, meetings, and even tasks.<\/li><li>Block time in your day so that you stay focused and committed to the task at hand.<\/li><li>Create recurring events, like weekly team meeting.<\/li><\/ul>\n\n\n\n<p>I\u2019d also add that by using my calendar I don\u2019t over-commit. I consult my calendar before agreeing to taking-on any new tasks or meetings. Also, by putting my to do-lists into my calendar I can take into consideration the location, materials needed, and energy level in advance.<\/p>\n\n\n\n<p>On the flip-side, Francisco S\u00e1ez, founder and CEO of&nbsp;<a href=\"https:\/\/facilethings.com\/blog\/en\/calendar-is-not-a-todo-list\" rel=\"noreferrer noopener\" target=\"_blank\">FacileThings<\/a>, argues that you shouldn\u2019t use your calendar as a to do list for the following reasons:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>You don\u2019t know exactly how long a task is going to take you to complete.<\/li><li>It\u2019s easy to get frustrated because you may not complete all of your tasks.<\/li><li>You have to constantly update your calendar.<\/li><li>Since your calendar often conveys a sense of urgency, it can stress you out.<\/li><li>You don\u2019t see how many tasks are left to complete, so you don\u2019t see the light at the end of the tunnel.<\/li><li>Because there\u2019s always a deadline, you live in a permanent crisis.<\/li><li>Finally, you don\u2019t know whether you\u2019ll be able to get to tasks on their scheduled blocks.<\/li><\/ul>\n\n\n\n<p>If you believe that the pros outweigh the cons, then here\u2019s what you will want to add to your calendar.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Appointments, meetings, and events.<\/li><li>Time-dependent or event-dependent events.<\/li><li>Blocks of extended time for high-focus activities, like writing.<\/li><li>Postponements, such as not purchasing a new car until after your taxes have been paid.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The hybrid approach: It\u2019s okay to have calendars and to-do lists.<\/strong><\/h2>\n\n\n\n<p>While there are pros and cons to both, you don\u2019t necessarily have to pick just one. That\u2019s because there\u2019s a huge difference between calendars and to do lists:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>The to do list is for tasks.<\/li><li>The calendar is for events.<\/li><\/ul>\n\n\n\n<p>Think of it this way. Your to do lists ensure that you get all of your tasks and chores completed. While your calendar keeps you on-track and helps you get to where you need to be.<\/p>\n\n\n\n<p>Generally, some feel that calendars aren\u2019t the ideal for the to do lists because they&#8217;re time-centric. At the same time, to do lists don\u2019t make for great calendars since you maybe haven&#8217;t added a component for time and feel like you can\u2019t&nbsp;<a href=\"https:\/\/www.calendar.com\/blog\/streamline-your-schedule\/\" rel=\"noreferrer noopener\" target=\"_blank\">streamline your schedule<\/a>&nbsp;at the same time.<\/p>\n\n\n\n<p>Consider taking the middle ground. Use your calendar for time-or-date-dependent events. This could be meeting with a client or a reminder to take trash to the curb Friday night.<\/p>\n\n\n\n<p>Your to do list could then be pared down to untimed actions. This could be something like making an appointment with a carpet cleaner. Doing so prevents your calendar from getting so full that you feel out-of-control.<\/p>\n\n\n\n<p>So, what works best for you? Do you rely on lists or do you live by your calendar?
